BACKGROUND INFORMATION

UNESCO’s Culture Programme aims to harness the potential of culture for sustainable development and peacebuilding. The UNESCO Conventions in the field of culture provide a unique global platform for international cooperation and establish a holistic cultural governance system based on human rights and shared values. These international treaties endeavor to protect and safeguard the world’s cultural and natural heritage including archaeological sites, intangible and underwater heritage, museum collections, oral traditions and other forms of heritage, and to support creativity, innovation and the emergence of dynamic cultural sectors.

UNESCO Regional Office for Eastern Africa, through its Culture Unit, assists UNESCO Member States with the promotion and implementation of the UNESCO culture conventions through policy support, capacity building, and partnership development. Programme implementation is primarily achieved through the UNESCO Regular Programme budget and extra-budgetary resources. The Regional Office is based in Nairobi, Kenya and serves 13 countries namely: Comoros, Djibouti, Eritrea, Ethiopia, Kenya, Madagascar, Mauritius, Rwanda, Seychelles, Somalia, South Sudan, Tanzania and Uganda.

SUPERVISION

Direct supervision by: Regional Adviser for Culture

The incumbent will work under the overall authority of the Director of the UNESCO Regional Office for Eastern Africa in Nairobi, Kenya, and the direct supervision of the Programme Specialist for Culture in the Nairobi Office. The culture team meets regularly to update on the progress of programmes, as well as discuss new projects, proposals, and assignments. Work plans are elaborated on a two-year basis and reviewed quarterly. Performance objectives are established for a two year basis and reviewed every 6 months.

DUTIES AND RESPONSIBILITIES

Within this context, the administrative assistant will assist in the overall implementation and management of the UNESCO Culture Programme in Eastern Africa, which includes the following:

  1. Manage and coordinate the Culture Sector’s daily administrative activities, including scheduling physical and online meetings/workshops/conferences, including preparing list of participants, PPT presentations, technical preparations and managing PPTs during the meetings.
  2. Support the administration of activities and events including logistics planning, implementation, outreach and communication to promote the work of the Culture Sector in Eastern Africa
  3. Prepare reports, meeting minutes, and other necessary documents including ensuring timely responses to requests and inquiries. Additionally, maintain an updated contact list for stakeholders and partners.
  4. Help organize Culture sector-related activities, including workshops, training sessions, and outreach events, ensuring effective logistical and administrative support.
  5. Support projects’ budgeting and procurement of necessary services and materials, in coordination with the finance team related to culture sector. This will include processing of Purchase orders, contracts, invoices and payment requests
  6. Archive project documents, contracts, and other records/deliverables in compliance with UNESCO’s document management policies.
  7. Assist with updating and disseminating relevant communication materials to partners and stakeholders as directed by your supervisors.
  8. Carry out other assignments by the Culture Programme Specialist/ supervisors as needed. 

REQUIRED QUALIFICATIONS

  • A first-level university degree in Administration, Management, Social Sciences, or a related field in combination with two years of experience in administrative work.

  • Knowledge of and/or experience with UNESCO Culture Programme. 
  • Familiarity with UNE structure, UN 2030 SDGs and AU Vision 2063
  • Strong communication skills
  • Capacity to work in English and French (basic)

Work experience: 

  • Preferably a minimum of 2 years of professional experience in the administrative field and cultural and creative sector
  • Experience in supporting project implementation and coordinating events/workshops/meetings/projects is an advantage.

Competencies and skills: 

  • Strong organizational and time-management skills with attention to detail.
  • Excellent (oral and written) communication skills, including the ability to draft and produce a variety of written material in a clear and concise manner
  • Ability to work effectively in a team and to maintain good working relations within a multi-cultural environment
  • Good IT skills, including good knowledge of standard office software, web content management, and social media.
  • Ability to handle confidential information with discretion

Languages: Excellent knowledge of English and French (basic).
